Google Calendar is a powerhouse for productivity, trusted by millions worldwide. As a long-time user and productivity expert, I've streamlined my workflow by sharing calendars effectively. This guide shares proven steps to organize events, collaborate seamlessly, and save time on scheduling.
One of the most powerful yet underused features is sharing your Google Calendar. Share with colleagues to show availability, family for shift schedules, or readers for event lists. Here's how to do it securely and efficiently.
From Google Calendar, click the arrow next to the desired calendar and select Share this calendar.

In the Share with specific people section, enter the person's email address. Google users integrate instantly; others get a free signup invite.
Choose permissions:
Click Send. They'll receive an email notification to access it.
Return to settings via Share this calendar.

Click the trash icon next to their name to remove access instantly.
Perfect for Apple Calendar or Outlook users. They get read-only view.
Click the arrow next to your calendar, then Settings and sharing.

Scroll to Integrate calendar, click the iCal icon, and copy the URL. Share securely—anyone with it can view.
For Apple Calendar or Outlook, provide these steps:
Open Apple Calendar, go to File > New Calendar Subscription, paste URL, and click Subscribe.

Customize name and refresh rate, then OK.
Click the iCal URL directly—it downloads a .ics file. Open in Outlook to auto-add.

Reset the URL: Calendar arrow > Settings and sharing > Reset private URLs > OK. Share new URL with trusted users only.

Ideal for events or availability. Arrow next to calendar > Share this calendar > check Make available to public. Opt for free/busy only if preferred.

Get public link: Settings and sharing > Integrate calendar HTML icon.

Share the URL or embed. Note: Public calendars may appear in Google search.
Sharing unlocks collaboration. Combine with advanced features for daily time savings. What's your favorite sharing tip?
