Here's how to leverage Auto Fill and Flash Fill effectively, based on years of real-world spreadsheet management.
Before diving into Flash Fill, perfect Auto Fill. I'm preparing my Christmas card list in Excel to organize recipients efficiently.

To number the list without typing each one, enter 1 in cell A2, then drag the fill handle (bottom-right corner) down the column.

If it repeats 1s, click the Auto Fill Options button and choose Fill Series. Or right-drag for a quick context menu.

Now you have sequential numbers. Auto Fill shines with patterns—for text file imports, see How to Convert Delimited Text Files to Excel Spreadsheets.
Auto Fill intuitively handles dates: Drag up for past dates, down for future ones. It works horizontally too.

Provide context for precision. Enter 10:00 AM, format as Time via the Number Format ribbon tab.

Drag down for hourly increments.

For custom intervals like 30 minutes, enter 10:30 below, select both, then drag.

For my card list, assign designs: Select the three types in the Design column, then drag the fill handle.


It cycles through. Auto Fill also handles days/months with just the first entry.
