Microsoft Outlook is a powerhouse for workplace productivity, packed with features that can save hours each week. Drawing from years of hands-on experience optimizing email workflows for teams, here are three essential tips to streamline your Outlook usage and stay ahead.
When you select an unread email in Outlook and delete it without switching messages, it stays marked as unread—leading to clutter in your inbox view, including the Deleted Items folder.
To fix this, go to File > Options > Mail. Under Outlook Panes, select Reading Pane. In the dialog, check Mark items as read when viewed in the Reading Pane and set the wait time to 0 seconds.
Click OK to save. Now, emails mark as read the moment you select them.

Copied text from a browser, document, or anywhere? Paste it directly into Outlook with Ctrl + V to generate a new email with the content in the body—no extra steps needed.
Ensure you're in the Mail view (not Calendar, Contacts, or Tasks, where it creates items for those sections instead).
Need deep focus? Disable Outlook notifications, but keep alerts for key emails from specific contacts or projects.
First, go to File > Options > Mail. Under Message arrival, uncheck all notification options and click OK.

For exceptions: Right-click an email from a key sender, select Rules > Create Rule. Check From [sender] under conditions, and display a Desktop Alert or play a sound under actions. Explore advanced options for subjects or importance.
Alternatively, go to Home tab > Rules > Manage Rules & Alerts > New Rule. Start with Apply rule on messages I receive, select from people or public group under 'keep up to date,' and customize conditions like sender, keywords, attachments, or importance. Set actions for alerts, desktop notifications, or sounds, then finish.
To re-enable all notifications, return to File > Options > Mail and toggle them back on.
