Outlook rules are incredibly powerful, automating inbox management and saving hours. Incoming messages follow your custom rules—for instance, flag emails from your manager with a sound alert or trash those containing 'newsletter'.
To create one, go to the Home tab on the ribbon and select Rules > Create Rule. If you've selected an email, fields may auto-fill, but edit as needed.

For advanced customization, click Advanced Options…. Set conditions and actions for matching messages.

Efficient inbox management starts with keyboard shortcuts at your fingertips.

Press Alt + H to highlight the ribbon for quick access. Other essentials: Ctrl + E jumps to search, Ctrl + 1-6 switches views (Mail, Calendar, Contacts), and Insert flags messages.

Spam clogs inboxes—let Outlook handle it with junk filters and Clutter.
Adjust protection levels via Home tab > Junk > Junk E-mail Options....

Choose Low for obvious junk, High for aggressive filtering (may catch legit mail), or Safe Lists Only for approved senders.
Use Safe Senders and Blocked Senders tabs to whitelist or blacklist addresses/domains.
Office 365 business users get Clutter, which analyzes senders, content, and habits to divert low-priority mail. Train it by right-clicking a message > Move > Move to Clutter.

Disable Clutter in web Outlook: Gear icon > Options > Mail > Automatic processing > Clutter, uncheck Separate items identified as clutter, and save.

Skip inbox zero—Outlook's search handles massive volumes. Use the top search box across all folders via Current Mailbox dropdown.

Type to scan sender, subject, or body. Refine with operators like AND, OR, NOT, or parameters: from:, subject:, received: followed by terms. See Outlook support for the full list.
The Search tab appears for easy parameter selection.
Highlight messages matching rules, like coloring old emails or categorizing keywords.
Go to View tab > View Settings > Conditional Formatting.... Click Add, name it, set font/color, then Condition....

Fine-tune with From... for senders, Received... for dates. Explore More Choices for categories and Advanced.

Regret a sent email? Recall it if using Exchange, recipient is on the same server, and it's unread/unmoved.
In Sent Items, open the message > Message tab > Move group > Actions > Recall This Message....

Choose Delete unread copies or Delete and replace with new message. Check Tell me if recall succeeds or fails for each recipient for notifications via Track button.
